In this role, you have the opportunity to

Report into an Senior Executive Leader in North America, and perform administrative responsibilities requiring good judgment and discretion. This is not your typical calendar management and travel scheduling EA role; you have to be an effective communicator and skilled at delivering high quality results in a timely manner, in addition to being confident in your abilities to engage at all levels internally and externally.  In this position, you will bring your knowledgeable and expertise of concepts, practices, and procedures related to the role of an Executive Assistant.

You are responsible for (but not limited to)

  • Performing entirely independently and pro-actively, the full range of administrative tasks (screen incoming and outgoing mail), calendar management, plan meetings (manage meeting minutes, etc.), plan video/conferences, travel arrangements and related expenses, calendar management, planning of meetings, including connect meeting conferences, travel arrangements and related expenses, creating of internal & external presentations, create purchase orders and monitor related invoices by using several tools e.g. Microsoft Office, Concur, etc.) 

  • Creating business reports (monthly, quarterly, etc..); and work on different projects, as needed

  • Dealing with sensitive, complex, and highly confidential information

  • Sharing knowledge; continuous focus on improvements in purpose of tools, processes, and approaches with others; remain knowledgeable of corporate policies

  • Actively supporting organizational changes, development, and internal projects

  • Serve as the point of contact for other team members and internal departments 

  • Manage increasingly competing priorities and deadlines, providing outstanding support to our internal partners

  • Seek out opportunities to challenge yourself and others; finding new ways to positively affect the team, the customer, and the business

  • Escalate items as needed to management, collaborating to drive solutions

To succeed in this role, you should have the following skills and experience

  • 10+ years’ experience in an executive assistant role in a dynamic and global environment

  • Experience as an Executive Assistant at the Senior Executive Level required.

  • Willingness to work full-time and beyond regular working hours, if called upon

  • Pro-active problem preventer who takes initiative and makes independent decisions.

  • A creative person, capable of generating fresh ideas in the interest of finding new possibilities.

  • Structured, with meticulous organizational skills, knows how to set priorities under high pressure

  • Proficiency in English

  • Able to prioritize multiple projects and job responsibilities with competing deadlines (organizational/time management skills)

  • Experience working in a large, global company strongly preferred; ability to deal with different time zones, currencies, work practices and schedules, and cultural differences

  • Able to perform a variety of job tasks simultaneously; flexible to changing priorities and demands, as needed

  • Strong workload management and problem-solving skills.  Must be able to balance workload, including short-range issues and long-term planning.

  • Strong communications and interpersonal skills.  Must be able to work well with people from a variety of backgrounds and disciplines, e.g. technical, business, administration.

  • Proven ability to use good judgment and make confident decisions under defined policies and procedures

  • Ability to work under minimal supervision on day-to-day activities, maintaining a high degree of integrity

  • Advanced in Word, Excel, PowerPoint, and web tools.  Ability to learn new tools.
